Those of us who want to make money online, or keep making money online must be sure treat our online business with the same professionalism and respect as any other business. Many of us can easily recount three professional and unfortunately unprofessional business experiences which we have had at some time in the past. Our interaction with these businesses may have been via e-mail, a shopping experience, or a phone conversation. In most instances, the line between whether an experience was professional or unprofessional was extremely subtle, but very significant.
Owning and operating an online business usually involves wearing several hats. You can be performing CEO duties at 10:00 a.m., and secretarial duties just ten minutes later. Whatever your capacity at any given moment, it is critical that you maintain your professionalism.
Maintaining a professional decorum is very simple. To this end, I have outlined five points below which every business owner should live by from a professional perspective. Many of them may seem obvious, yet they are often overlooked.
1. You Have To Use A Spell Check
It really does not matter what you are doing. If you are about to send an e-mail, working on your website, or writing an article, you need to check your spelling. Poor spelling and grammar is a reflection of your work ethic and quality. If a customer sees that you are too lazy to spell check, they will not trust your business.
2. Telephone Etiquette
Have you ever called your favorite retail store to hear them answer, “Hello?” Maybe you have, maybe you have not. One thing that I can tell you is that if you have, I am sure that you just automatically assumed that you had dialed the wrong number.
Businesses answer their phone stating their business name. This way there are no questions or doubts. Unfair or not, some potential customers have a negative preconceived notion about home-based businesses, so let them know from the moment they call that you are a professional organization. Ensure that your voicemail clearly notes your business name, and directions for leaving a message, or alternate contact information. Furthermore, ensure that you voicemail is never full. If your business line is also your home line, instruct others in your home how you want calls answered during business hours. Also, explore the option of getting a smart ring number or a voicemail system with multiple mailboxes.
3. Appearance of Professionalism
One of the first things that a customer will see is your website. A customer will use your website to gauge your professionalism. Therefore, you must ensure that you website’s design is clean and the navigation is obvious and not confusing. Within the first few seconds of being on your website, your visitors should be able to determine what your website is intended to convey. You also must make sure that your website loads quickly. People do not wish to wait to see if your website is what they are looking for or not. If your site takes too long to load, they will simply go to your competitor.
Furthermore, when corresponding with customers via e-mail, make sure that your e-mail address matches that of your website. If your website is www.yourwebsite.com, your e-mail should be XYZ@yourwebsite.com.
4. Be Polite
When you are on the phone, make sure that you have a smile on your face. As your parents taught you, say please and thank you. No matter who you are corresponding with, treat each person as they are extremely valuable to your business. Tell you customers that you appreciate their business. This will go a long way in their decision to give you future business. Make sure that customers are made comfortable with your online business by exuding the picture of professionalism and manners.
5. You Must Be an Expert Regarding Your Business
One of the most unprofessional scenes plays out when you cannot answer questions about your own business with authority. If someone needs a service which you offer, and they ask you for a quote, they want to know how much it will cost them for that service if they hire your business. They do not want to hear that you are restructuring your pricing, or that you are new to this business. Keep in mind that the customer came to you because of your expertise. Experts are able to confidently answer questions regarding services, pricing, and customary practices.
From the outset, you must know that a lot of work is involved for those of us who make money online. Furthermore, online business is relatively new, so expect to experience some push back from customers from time to time. Nonetheless, your professionalism can do a lot to negate the stereotypes regarding online business, and instill the confidence your customer needs prior to purchasing your products or services.
